OfficeEaze is built for Canadian small and medium businesses with 1 to 250 employees — retail stores, restaurants, trades businesses, auto shops, professional services, healthcare clinics, and anyone else who needs to hire, pay, and manage people without a full HR and accounting department. If you are currently juggling multiple tools, paper files, and email threads to run your back office — OfficeEaze was built specifically for you. Two limits worth knowing up front: OfficeEaze is built for non-unionized workplaces, and for provincially regulated employers. If your workplace has a collective agreement, or your business is federally regulated (banking, telecommunications, air, rail, marine or interprovincial trucking), OfficeEaze is not the right fit.

When OfficeEaze runs in standard mode, your data is stored in a shared database where each business's records are logically separated by security rules — your data is only accessible to you, but it lives alongside other businesses' data in the same infrastructure. A dedicated tenant environment means your data lives in its own isolated database, completely separate from all other OfficeEaze customers. Nothing is shared. It's an optional paid upgrade available on any Associate or Enterprise tier — +$30/month (+$330/year) — for franchise networks, multi-location groups, and organizations with strict data isolation requirements. For most small businesses the standard environment is more than adequate — the security model is the same, just the physical separation differs.

OfficeEaze handles every Canadian pay structure: hourly, salary, piece rate, flat rate with hourly guarantee (common for automotive technicians), commission only, base plus commission, base plus tips, productivity bonuses, tiered piece rate, agricultural piece rate, and live-in caregiver pay. Each structure auto-calculates gross pay, with a minimum wage top-up check applied automatically to hourly-based structures.

No. OfficeEaze organizes and prepares your data so your accountant can file. We calculate payroll deductions using CRA published formulas, track your HST collected and paid, and organize your GL codes and expenses for year end — but we never submit anything to CRA on your behalf. Think of us as the preparation layer between your business and your accountant.

Yes. OfficeEaze is Canadian-owned and operated, built specifically for Canadian employment law, CRA requirements, and provincial compliance. Your data is stored in Canada. We are not a US product with Canadian tax rates bolted on — Canadian compliance is the foundation the platform was built on.

Employee SINs are encrypted with AES-256 using a dedicated key before being stored — they are never stored in plain text and never visible in full in the interface. Banking information for direct deposit is encrypted separately and only decrypted server-side when generating deposit files. All access to sensitive records is logged with timestamp and IP address. TD1 forms and personal information are accessible only to the account owner. Employee personal information is handled under the privacy law that applies in each province — Alberta's and B.C.'s Personal Information Protection Acts, Quebec's Law 25, and PIPEDA where it applies (federally regulated employers and the territories).

After your 30-day free trial you will be prompted to choose a plan and enter payment details. If you do not add payment details your account is paused — your data is held safely and nothing is deleted. Resuming takes less than a minute.

Yes — OfficeEaze has import tools for the data you're bringing over. You can bulk-import employees from a CSV using a downloadable template (name, position, province, wage, email, and more); the system validates every row, creates the records, and then lets you send each employee a secure link to complete their own SIN, banking, and TD1 details. Vendors and GL codes can be brought in through Mass Import, or you can add them manually or let Harris extract vendors from uploaded invoices. If you're switching mid-year, you can import prior year-to-date payroll totals for each employee via CSV so T4s stay accurate. Most businesses switching from another system are up and running quickly using these import tools.

OfficeEaze gives you two ways to clock in, and you choose what fits your workplace. The first is a browser-based kiosk you display on a shared tablet — no employee login required. You pick how staff identify themselves on the kiosk: tapping their name and entering a PIN (best for small teams), or scanning a QR code. The second is phone clock-in, where staff clock in from their own phone in the employee portal — and you can optionally require a location check (geofence), a selfie photo, or a device biometric confirmation (Face ID or fingerprint) for added accountability. Unscheduled clock-ins are flagged for manager review, and approved punches flow directly into timecards and payroll.

No. OfficeEaze is designed exclusively for non-unionized workplaces. It does not support collective agreements, union dues deductions, grievance procedures, or seniority-based scheduling. If your workplace is unionized or in the process of certification, consult a qualified labour relations lawyer.

OfficeEaze monitors Canadian federal and provincial employment standards, CRA rate changes, and minimum wage updates. When rates or rules change we update the platform and notify affected customers. Tax rates and employment standards rules are stored in a database that can be updated without a software release. Critical changes like annual CRA payroll rate updates are applied before the new tax year begins.

OfficeEaze's AI assistant, Harris, is built to assist, not decide — it answers questions, drafts documents, and surfaces suggestions, but you always make the actual decisions, and Harris never screens job applicants, scores performance, or sees employee SINs or banking details. That matters because recent Canadian rules (like Ontario's Employment Standards Act changes in force January 1, 2026) focus on employers who use AI to make or screen decisions about people — which OfficeEaze doesn't do for you. Two things are worth knowing: if you use a separate AI tool to screen applicants, Ontario now requires your job postings to disclose that; and if you have 25 or more employees in Ontario, you must maintain a written electronic monitoring policy that accounts for any monitoring tools you use — including OfficeEaze features like time-tracking, selfie clock-in, and scheduling. OfficeEaze can help you generate that policy. As always, Harris is a general information tool, not a lawyer — verify anything legally significant with qualified counsel.

It means there are no feature tiers, no add-ons, and no per-module fees within a plan. The Solo plan is built for self-employed people with no staff — it includes all the financial and compliance modules (invoicing, expenses, mileage, T2125, CRA compliance calendar, filing cabinet, document generator, and Harris AI), but not the employee-management modules. From the Micro plan up, every plan includes the full platform — payroll, HR records, scheduling, time clock, onboarding, e-signatures, and everything else. Among those plans the only differences are the number of employees you can have, the number of team member logins, and storage. You are never locked out of a feature within your plan because of an upsell.

Yes — OfficeEaze calculates CPP, CPP2, EI, and federal and provincial income tax for employees in 9 provinces and 3 territories — Quebec not yet supported — using CRA T4127 published formulas. Hours flow automatically from the time clock into pay runs. TD1 claim amounts collected during onboarding are applied automatically. Pay stubs are generated as PDFs and made available in each employee's secure portal after every pay run — they are never sent as email attachments. A CPA 005 direct deposit file is included for uploading to your bank. A PD7A remittance summary is generated after every pay run showing exactly what to remit to CRA and when. Important: OfficeEaze is a payroll calculation tool, not a licensed payroll provider. We recommend verifying your first few pay runs against CRA's Payroll Deductions Online Calculator at canada.ca/pdoc. When in doubt, consult a qualified accountant or payroll professional.

Not yet. OfficeEaze does not support Quebec employers today. Quebec has its own provincial tax system administered by Revenu Québec, with QPP instead of CPP and QPIP premiums — requirements that are fundamentally different from the rest of Canada. OfficeEaze is available in all other provinces and territories. If you are a Quebec employer, you can add your email to the Quebec waitlist from the signup page and we will let you know if that changes — we are not promising a date.

OfficeEaze stores your business and employee data in Canada using AWS ca-central-1 (Montreal). Some trusted service providers — including our AI assistant, payment processor, and email delivery — may process limited technical data outside Canada. When information is processed outside Canada it may be subject to the laws of that jurisdiction. Sensitive data including SINs and banking details is encrypted before any processing. We will never sell your data or your employees' data to any third party. See our Privacy Policy for the full list of subprocessors.

Harris is OfficeEaze's AI assistant — built specifically for Canadian small business. Harris knows your account: your employees, your province, your outstanding invoices, your CRA deadlines, and your business health score. Harris can answer questions about employment standards by province, walk you through payroll steps, explain CRA deadlines, help draft HR documents, and navigate you to the right part of OfficeEaze. Harris is a general information tool — not a lawyer, accountant, or licensed payroll provider. Answers should be verified before acting on them in legally significant situations. Do not enter employee SINs, banking details, or sensitive personal data into Harris chat.

You can export everything — payroll records, HR files, T4s, documents, invoices — at any time in one click with no restrictions, and your data is always yours. If you cancel, OfficeEaze permanently deletes your account data — including payroll, tax, financial, and employee records — 30 days after your billing period ends, and does not retain these records on your behalf. We send reminders with the exact deletion date during that window. Because the CRA requires you to keep your own payroll and tax records for at least 6 years, export your data before you cancel so you have your own copy. After deletion we keep only your signed deletion acknowledgment and our own billing records — not your business data.

OfficeEaze exports data in formats your accountant can import. The Vendors and GL module exports a month-end summary compatible with most Canadian accounting software. Expense reports and payroll both export as CSV. We do not have a live two-way sync yet — that is on our roadmap. Most customers find the OfficeEaze export plus their accountant covers everything they need.

Every employee gets a secure personal portal where they can view and download their pay stubs, access signed documents, submit expense claims, confirm their schedule and shifts, set their availability, and update their personal profile. Employees log in with their own credentials — they never see other employees' information or any employer data.

Each location can run its own full OfficeEaze account today — complete payroll, HR, scheduling, and compliance for that branch. Head-office features that roll up across all your locations — a consolidated multi-location dashboard, pushing policy documents to every location at once, and aggregate payroll and headcount reporting — are on our roadmap and coming soon. No. OfficeEaze is built for provincially regulated businesses. Federally regulated workplaces — banks, airlines, railways, interprovincial trucking, telecommunications and broadcasting, ports, grain elevators, and First Nations band councils — follow the Canada Labour Code instead of provincial employment standards. Payroll deductions themselves are federal and calculate the same either way — CPP, EI and income tax are unaffected. What differs is employment standards: overtime thresholds, statutory holidays, termination and severance, and leave entitlements. OfficeEaze applies your province's rules to those, so they would not match your obligations. If you are unsure whether your business is federally regulated, confirm it with a qualified employment lawyer before relying on the platform's employment standards.

OfficeEaze is a web-based platform that works on any modern browser — Chrome, Safari, Firefox, and Edge — on desktop, laptop, tablet, and mobile. There is no app to install. The employee time clock kiosk is optimized for tablet display. For the best experience managing payroll and HR we recommend a desktop or laptop.
