Accessibility Statement

Lou Squared Systems Inc. (operating as OfficeEaze) is committed to making OfficeEaze accessible to everyone, including people with disabilities. This page describes what we have done to make our platform accessible, what still needs work, and how to contact us if you run into a barrier.

We follow the Accessibility for Ontarians with Disabilities Act (AODA) and aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA.

What we have done

You can navigate without a mouse. Every feature in OfficeEaze can be reached and used with a keyboard alone. Buttons, menus, forms, and dialogs all work with Tab, Enter, and arrow keys. When you move through the page with a keyboard, a visible outline shows you where you are.

Screen readers work throughout the platform. We test with NVDA on Windows and VoiceOver on macOS and iOS. Every form field has a label your screen reader can announce. Error messages are connected to the fields they describe — your screen reader will tell you what went wrong and where. When alerts and notifications appear on screen, your screen reader is notified automatically. The Harris AI chat widget announces new responses when the chat panel is open.

The page is organized in a logical order. Headings follow a clear hierarchy from top to bottom so you can jump between sections using your screen reader's heading navigation. The page is structured so assistive technology can identify the header, main content, and footer as distinct regions.

Text is readable and has sufficient contrast. We have audited and corrected text contrast across the platform to meet the WCAG minimum ratios — 4.5:1 for regular text, 3:1 for larger text — in both light and dark modes. Contrast is part of our ongoing testing, and we welcome reports of any text that is hard to read.

Images have text descriptions. Every meaningful image includes a description that screen readers can announce. Images that are purely decorative are hidden from screen readers so they are not announced unnecessarily.

Links that open new tabs say so. Any link that opens in a new browser tab is built to behave consistently across assistive technologies, and we avoid surprising users by opening new tabs unexpectedly.

Animations can be turned off. If you have set your device to reduce motion, OfficeEaze respects that setting and disables animations.

The platform works on mobile and touch screens. Tap targets are large enough to use comfortably. The platform is fully usable on phones and tablets.

Videos include captions. Our demo videos reference caption tracks, and we are completing the caption files now. Until they are finished, a text description of each video's content appears alongside it — see Known Limitations below.

Known limitations

We are honest about what is not yet complete:

- PDF documents — pay stubs, T4 slips, deposit slips, and Records of Employment are generated automatically and may not be fully readable by all PDF accessibility tools. If you need any of these in an accessible format, contact us at accessibility@officeeaze.ca and we will help. Improving PDF accessibility is a priority in our Year 2 plan (2026–2027).

- Video captions — our demo videos reference caption files that are still being produced. Until they are complete, text descriptions of the video content appear alongside each video.

Conformance status

OfficeEaze is built to meet WCAG 2.0 Level AA — the standard referenced by the AODA — and we use WCAG 2.1 Level AA as our best-practice target. We have not yet completed an independent third-party audit (scheduled in our multi-year plan below), and the items listed under Known Limitations do not yet fully conform. We test regularly through keyboard navigation, screen reader testing, contrast checking, and code review, and we welcome reports of any barrier you encounter.

Our multi-year accessibility plan

We are committed to continuous improvement under the AODA.

Year 1 (2025–2026) — Completed (self-assessed; independent audit scheduled for Year 2) Full keyboard navigation, screen reader compatibility throughout the platform, proper heading structure, form field labels, error descriptions, contrast compliance, motion reduction support, touch target sizing, skip navigation, and caption track references on all videos.

Year 2 (2026–2027) — In progress Accessible tagged PDFs for all platform-generated documents. Completed caption files for all demo videos. Independent third-party accessibility audit.

Year 3 (2027–2028) — Planned Implement audit recommendations. Publish results publicly. Review and update this plan.

Ongoing Annual internal accessibility review. Staff accessibility training. Respond to all accessibility feedback within 5 business days.
